When you fill out a form on allenflavors.com, we collect the information you enter in it. Our contact form asks for your name, email address, company name, phone number, job title, how you heard about us, and your message. Sample and formulation requests ask for your name, email address, company and phone number, plus a shipping address and details about the flavors or product you have in mind. To download a flavor sheet, we ask for your name and email address. To join our newsletter, we ask only for your email address, and we keep a record of when and where on the site you signed up.

If you join our Talent Community on our careers page, we collect your name, email address, phone number, city, state and zip code, the kind of opportunity you are looking for, your areas of interest, any education details you choose to share, and the resume file you upload.

We also collect website analytics through our analytics tools. This includes the pages you visit, how long you stay, the site that referred you, what you click on, how far down each page you scroll, how quickly pages load, and error reports when something on the site does not work. When you submit a form, our analytics tool connects your activity on this site to your name and email address, and to your company and job title if you gave them.

Our website and analytics tools receive your IP address when your browser connects, and our analytics tools may use it to estimate your general location. We also use your IP address for a short time to limit how often our forms and chat assistant can be used, which helps us prevent abuse.

If something goes wrong during a visit, for example a form fails to send, the chat assistant runs into an error, or a form is left partway through, our analytics tool may record a replay of that visit showing how the page looked and what was clicked, so we can find and fix the problem. Ordinary visits are not recorded this way. In these recordings, anything typed into a form field is hidden, and so are your own chat messages and the summary of details you entered on a form. The rest of the page, including the chat assistant's replies, is recorded as it appeared on screen.

We use your information to respond to your inquiry, process sample requests, provide the flavor sheets you download, send you the newsletter you sign up for, consider Talent Community members for future job opportunities, and improve our website experience, including finding and fixing problems on the site. We do not sell, rent, or share your personal information with third parties for marketing purposes.

Allen Flavors offers an optional AI chat assistant on this website to answer questions and help you start a sample or formulation request. Using the assistant is voluntary.

When you send a message to the assistant, the content of that message is processed by a third-party AI provider to generate a response. Please do not share confidential or sensitive personal information through the chat that you would not want processed for this purpose.

We may keep a record of your chat conversation to review and improve the quality of the assistant and to follow up on requests you submit through it. The record includes the messages, the page you were on, the type of browser and device you used, when the chat started and ended, how many messages were sent, and any forms you submitted through the chat. After 90 days, the text of the conversation is deleted. We keep the rest of the record, with no set date for deleting it, along with a few topic tags and a one-sentence summary of what was asked. The same AI provider writes this summary from the full conversation and is told to leave out your name and contact details.

Your browser also keeps a copy of your conversation on your device, so it is still there if you come back within 7 days of your last message. After that it is cleared the next time you visit, and you can clear it sooner by clearing your browser's data for this site.

We do not sell your chat conversations or use them for advertising. You may request deletion of your chat data at any time by emailing marketing@allenflavors.com.

We retain contact form submissions and sample requests for the duration of our business relationship plus a reasonable period thereafter. We retain resumes for one year. Chat conversations are kept as described in the AI Chat Assistant section above. You may request deletion of your data at any time by emailing customerservice@allenflavors.com.

Our website uses cookies and similar browser storage for analytics and site functionality, such as keeping your chat conversation available when you return and remembering your name and email address on this device after you download a flavor sheet, so you do not have to type them again. You can control cookie preferences through your browser settings.
